The deal, in the fewest words that are still true.
You enter your prices, we publish them on your website and keep a dated record of every version. The prices are yours and so is the responsibility for them. The service is free until 23 March 2027. You can leave whenever you like and your fees page keeps working.

Who you are contracting with
estimate.vet is a service of Big Data Synergy Ltd, a company registered in Scotland, number SC501145. In these terms "we" and "us" mean that company, and "you" means the veterinary practice using the service. This is a business to business agreement.
What we do
We take the fee schedule you give us and turn it into two things on your own website: a price list as plain HTML showing every band, and an estimate builder on top of it. We keep every published version with the date it went live. We give you a snippet to paste, or we paste it for you if you ask.
What we do not do
- We do not set your prices. Every price published is one you gave us, or one worked out from what you gave us. Besides adding up totals, we work out three kinds of price: what a member of your plan pays, which is your price less the discount you set against it; a price taken from your practice system, with VAT added or taken off where that system's figures and your list differ on VAT (your account treats those figures as before VAT unless its VAT setting says they include it); and a price you link to more than one line of your practice system, which is those lines added or subtracted as you linked them. Each is rounded to the nearest penny. We do not benchmark you, and we do not change a price in any other way.
- We do not give legal advice. Everything on this site about the CMA Order is our reading of it. Your obligations are yours to check, and a solicitor is the right person to check them with.
- We do not write your written estimates. The duty to give a written estimate is a per-animal document issued after examination. A public calculator is a price indication and is not that document.
- We do not host your website.
What you are responsible for
The accuracy of your prices, and your own compliance. That includes what a worked-out price is built from: the discount you set for plan members, the VAT setting for your practice system's figures, which starts as before VAT and is yours to check, and the links you make between a price and the lines of your practice system. We publish what you give us and what is worked out from it, so a figure on your fees page is only as right as the price, the discount, the VAT basis or the link behind it. Our checklist catches structural problems, an unpriced band or a fixed price left blank, and it cannot know that £285 should have been £385.
You also need the right to publish what you upload, and an account here is for your practice rather than to be shared around.
What it costs
- Free until 23 March 2027. No card, no commitment, nothing to cancel. That date is the deadline for independent practices.
- After that, £10 a month per practice, excluding VAT, billed monthly, if you signed up by 23 March 2027. That price is guaranteed for as long as you stay subscribed without a break. If you had an account on 1 October 2026, this applies to you. If you do not want to continue you can stop and keep your published HTML.
- If you sign up after 23 March 2027, the price is not set yet. It will be, and will stay, under £1 a day per practice, excluding VAT, billed monthly, as this site has promised since 2 September 2026, and you will be told the figure before anything is charged.
- Nothing at all while we look after your practice website under a care plan.
- Changing your prices is unlimited and never costs extra, however often you do it.
What the guarantee means:
- Signing up by the date means that on or before 23 March 2027 your practice has an account, or has asked for one through the early access form or by email to hello@estimate.vet. We set accounts up by hand, so a request made in time counts even if the account is opened after the date.
- Your subscription, if you signed up by the date, starts only when you tell us you want to carry on, which you do by setting up payment. We will ask you before 23 March 2027, or when your account is opened if that is later. It starts on 24 March 2027, or on the day you set up payment if that is later, and never before your account is opened. You owe nothing until you have set up payment. Nothing is charged for any day before it starts. If you first set up payment after 23 March 2027, you still have the guaranteed price. After that date, unless you are on a care plan, what Leaving says below applies to you until you have set up payment: the price table on your own site keeps working and the estimate builder is the part that stops. Once it has started, it ends when you tell us to stop, when we end it, or when a payment for estimate.vet is more than 30 days late, and we will not end it for non-payment sooner.
- Without a break means your subscription, once it has started, has not ended. If it has not started, you have not had a break, so stopping while the service is free is not one. Time on a care plan is not a break. A practice that has had a break and later comes back pays the price for new practices at that time, unless the last point here says the guaranteed price comes back with it.
- What the guaranteed price covers is the service as the pricing section of this site described it on 1 October 2026, or on the day you signed up if that is later. The guarantee makes no promise either way about anything we add later and price separately.
- It is not ours to vary. We will not raise the guaranteed price by giving notice or by changing these terms. If we end your subscription, or close your account before your subscription has started, for any reason other than a payment for estimate.vet more than 30 days late or a breach of these terms, you can come back at any time while we still offer the service, and the guaranteed price comes back with you.
If your price is not the guaranteed one, we will not raise it without telling you first, in writing, with enough notice to leave instead, and it stays under £1 a day.
Leaving
Either of us can end this at any time, and you do not have to explain why. There is no minimum term and no exit fee. If we are the ones to end it, what we promise about your subscription under What it costs still holds.
When you go, the price table on your own site keeps working: it is real HTML on your own server, so it stays up with nothing of ours involved. The estimate builder is the part that stops. A link to your list on our server is not on your site, so it lasts only as long as we keep it there. You can export your whole fee schedule as a file at any point, before or after, and if you come back later it is one import.
If you also ask us to delete your account, export your fee schedule first, because afterwards nobody can sign in to take it. We erase the details of the people on the account, and keep your prices and every version you published for 12 months as evidence that your list was current. Then we delete them from our database, our server and our backups. If you ask us to delete them sooner, we do. The privacy policy has the detail.
Availability
We do not offer a service level agreement and we are not going to pretend otherwise while the service is this new. What we have done instead is make the part that matters not depend on us: the price list on your own site, pasted in or fetched by your site, is static HTML on your own server, so it survives our servers being down, your subscription ending, and us going away entirely. A link to your list on our server does not: while our servers are down, so is the list behind it.
Who owns what
Your prices, your practice's details and your fee schedule are yours. We do not sell them, share them, or use them to build a price comparison of any kind. The software, the code and the design are ours, and using the service does not transfer any of that to you.
Liability
Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.
Beyond that, and because this is a business agreement: we are not liable for loss of profit, loss of business, or indirect or consequential loss, and our total liability in any twelve month period is limited to the greater of the fees you paid us in that period or £100. Given the service is free until 23 March 2027, be clear-eyed about what that number means, and satisfy yourself that your published prices are right rather than relying on us to have caught it.
Data protection
What we collect and why is set out in the privacy policy. For the fee schedule you enter, you are the controller and we act on your instructions.
Changes to these terms
If these change we will update this page and move the date at the top. If a change materially affects you, we will tell you rather than leaving you to notice. No change takes the guaranteed price away from a practice that has it. Nor does any change alter what the guarantee means for that practice.
Law
These terms are governed by the law of Scotland and the Scottish courts have jurisdiction.
